Young Learners (inc. Groups) Booking Terms and Conditions

1. PROGRAMME INFORMATION

a) Programmes run with various start days and are scheduled in the morning and/or afternoon depending on product and location. BSC Education (Âé¶¹ÊÓÆµ¹ÙÍø) reserves the right to change the timetable structure. Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to use classrooms in alternative premises of a similar standard or offer alternative social programmes, activities, additional options or excursions.

b) Students must have reached the minimum age required as indicated on the programme information for the chosen location.

Please note for football courses minimum age is determined by the age of the child on the course start date.

c) Students booking a Full Board programme will be provided with Breakfast, Lunch and Dinner each day. A half board programme includes breakfast and dinner. Additional meals and snacks must be purchased separately by the student.

d) Curfew times are in place and must be observed. Students not adhering to the stated curfew times will be subject to disciplinary actions.

e) Âé¶¹ÊÓÆµ¹ÙÍø will endeavour to fulfil special requests; however, these cannot be guaranteed

f) Student groups arriving more than 24 hours after the stated start date for that week of the summer programme will be taught as a closed class for that week and then join international classes the following week.

2. PAYMENTS

A 20% deposit must be paid immediately upon booking for all courses.ÌýA booking confirmation will only be sent when a deposit has been received. â¶Ä¯Ìý

Bank details are provided on the invoice. Or payment can be made immediately via the website via Stripe or PayPal. Payments must be received in full 28 days prior to the course start date. Bookings made within 4 weeks of arrival must be paid in full at the time of booking. â¶Ä¯Ìý

Payment must include all bank transfer charges (including intermediary bank charges).Ìý Ìý

For groups comprising of a minimum of 15 students, specific terms and conditions may apply.

3. CHANGES TO ENROLMENT

Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to charge an administration fee of £50/ €50 each time the programme or centre is changed or postponed after Âé¶¹ÊÓÆµ¹ÙÍø has confirmed the initial booking. This may also include any requests for changes whilst the student is at the centre. A downgrade in course type after booking is considered a cancellation and the same refund policies will apply.

4. REFUNDS AND CANCELLATION FEES

If Âé¶¹ÊÓÆµ¹ÙÍø cancels a programme after a student’s enrolment, all monies paid will be refunded in full.  Refunds, where applicable, will be made within 90 days of the cancellation date and will be refunded to the original fee payer via the original payment method. Ìý

The following fees are non-refundable: deposits, registration/enrolment fees, course materials, insurance fees, and accommodation placement fees. â¶Ä¯Ìý

Any pro-rata refunds will be calculated on a weekly basis, with any partial week counted as a full week, provided the student attended at least one day of the scheduled week. â¶Ä¯Ìý

Certain visa or residence permit restrictions may prevent students from shortening their course once it has started. â¶Ä¯Ìý

All students are subject to any destination-specific enrolment and refund agreements. â¶Ä¯Ìý

Cancellations Prior to Arrival â¶Ä¯Ìý

If a visa application is rejected and we receive written evidence at least 15 days before arrival, you will be eligible for a refund via our insurer, if you have taken out insurance with them.Ìý BSC Education are not responsible for visa rejection or any refunds associated with this.Ìý

If you cancel up to 14 days post booking, a full refund will be provided. No refund will be made by Âé¶¹ÊÓÆµ¹ÙÍø for cancellations past 14 days.  Instead, Âé¶¹ÊÓÆµ¹ÙÍø will provide proof of cancellation and students should contact their insurance company to process any refund via the cover they have taken out.   

No Shows, Cancellations & Changes After Arrival Ìý

No refund will be given to ‘no shows’ or to those who cancel after arrival. However, bookings may be postponed for up to 12 months.  We would charge an admin fee of £50 for this service. Ìý

Transfer cancellations made within 48 hours of arrival will be charged in full. Ìý

Non-Âé¶¹ÊÓÆµ¹ÙÍø accommodation  Ìý

3rd party suppliers, e.g. accommodation providers, may be subject to different cancellation terms. If you have booked accommodation separately and not via Âé¶¹ÊÓÆµ¹Ù꿉۪s sales team, cancellation conditions of the 3rdÌýparty accommodation provider will apply.Ìý â¶Ä¯Ìý

Cancellation for Group bookings

Individual booking cancellations inside the group booking are subject to standard Terms and Conditions (see above).

Insurance

Insurance will be booked once full payment has been received. If you postpone after insurance has been booked, you will be required to purchase new insurance unless the postponement occurs within 14 days of the original booking date, as insurance dates cannot be amended after this period.

5. ACCOMMODATION

All Young Learner accommodation is guaranteed in separate male and female rooms. Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to change the room type booked when necessary. Any upgrade in room type will be offered on a complimentary basis. Any student changed to a lower accommodation category will be offered a refund to the value of the original price difference between the two room categories.

6. LEVEL OF ENGLISH

If a student does not have the minimum level of English required to follow a specific course, Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to move the student to an appropriate course for their level. Minimum course levels specified before enrolment.

7. VISAs

Âé¶¹ÊÓÆµ¹ÙÍø cannot be held responsible for decisions taken by embassies or immigration officials regarding entry visas or visa extensions. Visa advice can only be given by the appropriate Embassy, Consulate or High Commission. Students should contact their local Embassy, Consulate or High Commission to ensure they are allowed to enter and study in their chosen location. Students must maintain a valid visa status and their course will be terminated without a valid visa.

It is the responsibility of the applicant to ensure that the most updated regulations/processes are being followed. Âé¶¹ÊÓÆµ¹ÙÍø cannot be held responsible for any visa regulation changes which occur after the booking has been confirmed in compliance with the then existing regulations.

A visa document courier fee or postal fee is charged each time documents have to be sent by courier or post. Please see individual centre pages for exact fees.

If a visa application is rejected and we receive written evidence at least 14 days prior to arrival, we will refund the fees received in full, less any bank charges and any non-refundable fees (registration fee, accommodation fee, courier fees and bank charges). Should Âé¶¹ÊÓÆµ¹ÙÍø receive positive visa application results fewer than 14 working days prior to arrival, Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to offer alternative accommodation, which may incur additional charges.

If the arrival day is postponed due to a delayed visa application Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to offer an alternative centre, which may incur additional charges.

In the event that Âé¶¹ÊÓÆµ¹ÙÍø have incurred any charges in reserving the accommodation for the student, Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to pass these charges on.

8. PUBLIC HOLIDAYS

All centres will be open on Public Holidays. The Bank Holiday lessons may be substituted with a full day excursion. An updated list of public holiday dates can be found on individual centre pages and on the Âé¶¹ÊÓÆµ¹ÙÍø website.

9. ARRIVAL TRANSFERS

Flight/Train details including: arrival time, flight numbers, airline and point of origin must be advised 30 days prior to arrival in order for Âé¶¹ÊÓÆµ¹ÙÍø to provide suitable airport transfers. No refunds will be granted on transfers if arrival details are not sent to Âé¶¹ÊÓÆµ¹ÙÍø at least 14 days prior to arrival. Airport transfers include a maximum of 2 hours waiting time. Further delays may result in additional charges.

Transfer cancellations: Taxi cancellations made within 24 hours of arrival will be charged in full. Coach cancellations made within 21 days of arrival will be charged in full.

10. SUPERVISION

All students on Young Learner programmes will be required to complete a parental consent form prior to arrival. Please speak with your Âé¶¹ÊÓÆµ¹ÙÍø contact for more details. Failure to provide parental consent forms prior to arrival may incur in late confirmation of your booking. Group Leader Police Check and Group Leader Agreement documents are required prior to arrival.

11. BEHAVIOUR & EXPULSION

Âé¶¹ÊÓÆµ¹ÙÍø operates a zero-tolerance policy towards discrimination, bullying, and harassment in the workplace, the classroom, and within our accommodation provision.

Students may be expelled for behaviour that is unacceptable, unlawful, or in breach of our policies and student agreements.

Unacceptable behaviour includes but is not limited to; causing disturbance or nuisance; damaging property; engaging in abusive or disrespectful conduct; failing to comply with Health and Safety regulations (including fire safety); smoking or vaping in unauthorised areas; and the possession, consumption, or sale of alcohol or illegal drugs on college premises.

Âé¶¹ÊÓÆµ¹ÙÍø reserves the right to expel any student exhibiting such behaviour within our colleges or accommodation, as well as those who fail to maintain satisfactory attendance or academic engagement.

In the event of expulsion, no refund will be issued, and any outstanding fees will become immediately payable. Repatriation will be at the student’s or parent/guardian’s own expense.

12. PHOTOGRAPHY & FILMING

For all under 18s parental consent will be obtained, and any photography and filming will be in line with permissions given.

13. HEALTH DECLARATION & MEDICAL INFORMATION

It is recommended that students disclose any mental or physical illness, allergy, disability or condition that may impact their ability to successfully complete their programme. The wellbeing of any other student or staff member, that may require monitoring, treatment or emergency intervention during the student’s period of enrolment, or that may require special accommodation.

Âé¶¹ÊÓÆµ¹ÙÍø will not discriminate on the basis of any above mentioned conditions and where possible will provide reasonable accommodation to meet all students’ needs. Âé¶¹ÊÓÆµ¹ÙÍø will reserve the right to terminate a student’s enrolment if the student’s participation represents a risk to their, other students’ or team members’ health and safety. If reasonable provisions, in the opinion of Âé¶¹ÊÓÆµ¹ÙÍø, cannot be made, and the student’s physical or mental condition makes the student unable to successfully complete their programme, a student’s participation may be curtailed. Refunds will be provided based on standard refund schedules as per terms and conditions. Where a pre-existing condition has not been disclosed to Âé¶¹ÊÓÆµ¹ÙÍø ahead of arrival, and the student’s condition makes them unfit to be catered for, no refund will be given.

14. DAMAGE TO BUILDINGS OR PROPERTY

Students must pay the full cost of any damage they wilfully cause to centre or accommodation property.

15. INSURANCE

For personal and financial safety, students are required to take out insurance before they arrive in the UK or Malta.   Ìý

Âé¶¹ÊÓÆµ¹ÙÍø provides insurance cover via Guard Me Insurance which is a comprehensive policy specifically designed for international students studying abroad andÌýincludes cancellation cover. Students can purchase their own policy, but we recommend that any such policy includes cancellation, refunds and medical cover. Âé¶¹ÊÓÆµ¹ÙÍø does not cover cancellations unless the course booked is cancelled by Âé¶¹ÊÓÆµ¹ÙÍø. ÌýÌý

Insurance must be booked at the time of booking and will be added to the deposit invoice. Insurance will only be confirmed once the payment has cleared our account.
Insurance is non-refundable. If the dates of the course are changed, a new insurance policy will have to be taken out at additional cost.

16. LIABILITY

Âé¶¹ÊÓÆµ¹ÙÍø and its employees and representatives will not be liable for loss, damage or injury to persons or property howsoever caused, except where liability is expressly imposed by law. Âé¶¹ÊÓÆµ¹ÙÍø will not be liable in the event that any service contracted to be supplied by Âé¶¹ÊÓÆµ¹ÙÍø becomes impossible to supply for any reason or any cause outside the control of Âé¶¹ÊÓÆµ¹ÙÍø.

17. FORCE MAJEURE

Âé¶¹ÊÓÆµ¹ÙÍø will not be responsible for any failure to comply with any of its obligations (and therefore shall not be required to provide any compensation) if the failure is the result of any cause beyond Âé¶¹ÊÓÆµ¹Ù꿉۪s reasonable control.

Âé¶¹ÊÓÆµ¹ÙÍø shall not be responsible for any costs incurred by or on behalf of the student as a result of any such occasion. Such instances include but are not limited to; war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, unusually adverse weather conditions, pandemic and infectious diseases.

18. APPLICABILITY

Âé¶¹ÊÓÆµ¹ÙÍø Terms and Conditions are applicable to all students and agents representing students.

Electronic files £10 / €10

20. VALID PRICES

Prices are subject to change without notice and will be confirmed upon booking.

22. AGE LIMITS

18 to 21’s accepted in closed groups only.

23. TERMS AND CONDITIONS

The current Âé¶¹ÊÓÆµ¹ÙÍø Terms and Conditions supersede any previous Terms & Conditions that were applicable at the time of student’s booking.
